VolkerStevin are recruiting for a Site Administrator for our long term projects in Plymouth. This position will require security clearance. UK National is essential
To provide an effective administration function for both the site and the overall project, ensuring control of all agreed admin and documentation in a manner consistent with VolkerStevin and project processes and procedures.
To provide administrative support to the Head of Site Administration, always encouraging the use of Workspace and Asite as both an information resource and an archiving system
Key accountabilities:
These key Accountabilities will vary dependent of the size of project & admin team
- To provide a complete administration function for the project
- Maintain document control processes with regard to non- revisable documents, ensuring appropriate capture and storage of soft and hard copy material, particularly to ensure all incoming and outgoing correspondence is logged, scanned, and uploaded to Workspace according to the project protocol
- Ensure that site paperwork is being captured correctly and being filtered through to all those necessary and according to the project management team’s distribution lists.
- Support the project team in their use of Workspace and Asite and develop a good knowledge of the system, becoming a key user and first port of call for queries and issues
- Maintain a back-up stock of stationery & basic kitchen/cleaning supplies.
- Arrange Visitor passes to the Naval Base
- Raise Paperwork to apply for BPSS and SC passes
- Assist with the onboarding of new staff
- Maintain records of planned staff absences from site including leave, training & meetings as well as meeting room & hot desk bookings
- Provide an effective reception service; answering phone calls, greeting visitors and passing messages to the project team as required
- Prepare meeting rooms for important meetings, ensuring all required equipment/refreshments are available
About you
- Site/Construction Company experience (not essential)
- Excellent communication skills including written English and ability to compile own letters.
- Excellent IT skills including; Word, Excel, Powerpoint, Access, E-Mail and Internet
- Excellent telephone manner
- Ability to use initiative
- Discretion and confidentiality
- Time management skills
- Experience in the Procure to Pay Process
